Adding Source User Accounts
Once your migration project has been created, the next step is to add source user accounts. These are the accounts VaultMe will migrate data from. This step ensures that VaultMe can securely access each user's data before assigning destination accounts and starting the migration.
Accounts must be connected to VaultMe before they can be added to a project. VaultMe supports two ways to connect accounts: using end-user credentials or using admin credentials. The admin credentials method is recommended when you want to connect multiple accounts without involving individual users.
Selecting Already Connected Accounts
If user accounts have already been connected to your VaultMe workspace, they will appear under the Select tab. This is the fastest way to add users to your project.
From here, you can browse or search for users, review their connection status, and select the ones you want to include. Each account displays basic information such as email address, name, and whether it is currently connected. Only accounts with a Connected status can be added to the project.
After selecting the desired users, click Add selected to include them in your migration.
If you do not see the accounts you need, you will need to connect them first using one of the methods described below.
Connecting Accounts Using End-User Credentials
The end-user credentials method is designed for situations where you do not have administrative access to the source environment, or when users are expected to authorize access themselves.
When you choose this option, VaultMe generates a secure sign-in link. If you have access to the account, you can open the link yourself and complete the sign-in process. Otherwise, you can send the link to the account owner and ask them to follow the instructions.
Users simply open the link, sign in to their account, and approve access. Once completed, their account will automatically appear in your workspace and become available for selection.
It is recommended to open the sign-in link in a private or incognito browser tab. This prevents automatic sign-in with the wrong account and ensures that the correct user is connected. When connecting multiple users, each connection should be completed in a separate private session.
Note that the generated link is specific to source accounts and cannot be reused for other providers or for destination account setup.
Connecting Accounts Using Admin Credentials
For organizations using Google Workspace, VaultMe provides a more efficient method for connecting users through administrative access. This approach is recommended for larger migrations, as it allows you to connect multiple users without requiring individual sign-ins.
To begin, select the option to connect using admin credentials and sign in with a Google Workspace Super Admin account. Once the connection is established, VaultMe will confirm that your environment is connected.
At this point, you can enter the email addresses of the users you want to add. Each address should be entered on a separate line. After submitting the list, VaultMe will automatically locate and connect those accounts.
Once the process is complete, you will see a confirmation showing which accounts have been successfully connected and added to your workspace. These users are now available to be selected and included in your migration project.
Returning to the Account List
At any point, you can return to the main list of source accounts. From there, you can review all connected users, select additional accounts, or continue adding more users as needed.
Choosing the Right Approach
VaultMe supports both individual and centralized connection methods to accommodate different environments. End-user credentials are typically best for smaller migrations or when administrative access is not available. Admin credentials, on the other hand, are ideal for larger organizations where multiple accounts need to be connected quickly and consistently.
