User communication
Clear communication with end users is essential to a successful migration. Users should understand what is happening, when it will happen, and what is expected of them before, during, and after the migration.
Before starting the migration, the administrator should notify all affected users and provide clear instructions.
Users and other administrators should be instructed to:
- Avoid deleting or modifying content. They must not delete emails, files, or folders in their source Google Workspace or destination Google Workspace accounts once the migration has been scheduled.
- Keep the original folder structure unchanged. Users should not rename, move, or reorganize the content during migration.
- Refrain from connecting apps. Users should not install new third-party apps while migration is running, as this can interfere with API access and reduce migration speed.
- Avoid password or security setting changes. Password resets, MFA reconfigurations, or security updates can temporarily revoke VaultMe for Admins’ authorization, interrupting the transfer process.
- Be aware of expected timing. Let users know that the migration may take time, depending on account size and system performance, and that they can continue working with their accounts while the transfer runs in the background.
- Wait for confirmation before switching platforms. Users should start working in the destination Microsoft 365 accounts only after they receive confirmation from the admin that the migration is complete and data has been verified.
